University Radiology, the largest provider of subspecialty radiology and teleradiology services in NJ, is comprised of over 180 Board Certified radiologists with advanced U.S.-based training and expertise in all modalities and all subspecialty areas. In operation for more than 60 years, University Radiology staffs, manages and provides preliminary and final subspecialty interpretations and consultative support for hospitals, imaging centers and other medical facilities, and serves as the academic radiology faculty at Rutgers Robert Wood Johnson Medical School. Our physicians interpret over 2.1 million radiology procedures per year.

Responsibilities

 

University Radiology is looking for a full-time Certified Medical Assistant for our East Brunswick, NJ Imaging Office.

 

8:30am - 5:00pm

 

 

  • Schedule in-person office visits in MedInformatix (MI). Visit requests from providers, their assistants, the patient, or the patient’s family come via phone or email.
  • Schedule telehealth visits and have excellent knowledge of the telehealth platform (e.g., Doxy.me).
    • Schedule telehealth visit within the availability of the requested Interventional Radiologist (IRad).
    • Use the “calendar event” feature in MS Outlook to alert the IRad of any telemedicine visit.
    • Reschedule appointments by editing the existing “calendar event” on MS Outlook.
    • Facilitate patient’s usage of telehealth platform, including sending instructions via email or walking them through the process of logging on.
  • Maintain records of appointments, procedures, and patient information for each patient.
    • Request and obtain office notes, relevant labs, and relevant imaging reports prior to patient visit.
    • Obtain relevant outside imaging studies and facilitate their upload into our PACS. The patient can be instructed to get their studies themselves and then mail the CD or hand deliver the CD to any URG outpatient office. Alternatively, the navigator can call the other facility on the patient or radiologists’ behalf to have those studies mailed to us or made available to us electronically.
    • Request and obtain additional information as directed by the IRad.
  • Confirm all office visits with the patients the day before the office visit.
  • Identify and rectify any scheduling conflicts to prevent delays in patient care or service delivery.
  • Printout the next day’s schedule to be placed on the IRad’s workstation the following day.
    • Email the next day’s schedule to the scheduled IRad.
  • Schedule any requested imaging study as directed by the IRad. Must not schedule any diagnostic exams at any of the joint venture (JV) locations. See manager for the most recent list of JV locations.
    • Have excellent understanding of insurance company requirements/pre-certification processes with good understanding of what is required from each insurance company and appropriate timing of scheduled procedures based on insurance requirements.
    • Verify patient insurance coverage and obtain authorization for outpatient diagnostic exams.
  • Send an order of the any requested laboratory tests to the patient via mail or email.
  • Work with an IR nurse to have the medication called into the pharmacy of the patient’s choice or mail a prescription of any medications to the patient.
  • Provide clarifications to patients on procedures, as appropriate, and answer any questions regarding scheduling.
  • Deliver test results and follow up instructions as directed by the IRad. Communicate any follow up concerns from the patient or any need for a follow up visit with the IRad.
  • Schedule and coordinate interventional radiology procedures with patients, providers, and hospital scheduling staff.
    • Send required preprocedural information and prescription to the hospital.
    • Obtain acknowledgement of receipt by the scheduling staff.
    • Verify patient insurance coverage and obtain authorization for interventional procedures.
    • Confirm IR procedure and procedure date with the hospital and the patient.
    • Schedules procedures in MI.
  • Inquire with the IRad on the day of any scheduled procedure if a “note to chart” or any postprocedural office visit is needed.
    • If an “note to chart” is needed, it is to be scheduled on the date of the procedure, the referring provider and all additional providers listed on the initial office visit are to be listed as additional providers on the note to chart. “Note to chart” must be completed in MI to allow the IRad to dictate.
  • Work as a team with other schedulers or medical assistants to acknowledge and respond promptly to all emails from IRads. Acknowledgments to “close the loop” are a must.
  • Communicate effectively with patients and providers.
  • Maintain professional attitude and appearance.
  • Provides courteous customer service with a smile on the phone and in-person.
  • Have excellent time management skills relating to daily workflow.
  • Follow company policy regarding patient privacy (e.g., HIPAA).
